Answer · Manufacturing

Why do manufacturing enquiries take so long to close?

Because the person who contacted you cannot buy, and the people who can have not met you.

Because nobody who contacts you can sign. The enquirer is usually an engineer or specifier gathering options for a procurement process involving several other people, on a cycle set by capital planning rather than by their interest in you.

The single most useful correction to make about industrial enquiries is that the person filling in the form is almost never the person who will authorise the purchase. They are typically an engineer, a specifier or a maintenance lead assembling a comparison for someone else, under an internal deadline that has nothing to do with your sales cycle. Treating them as a buyer produces exactly the wrong follow-up: pressure applied to someone with no authority to relieve it.

That is also why the standard diagnosis — the lead went cold — is usually wrong. The enquiry did not cool. It moved to a stage the supplier cannot see, where a specification is circulated, a finance threshold is checked, an existing supplier is asked to respond, and a decision waits for a budget cycle or a plant shutdown window. Silence in that period is not disinterest; it is the process running normally with the supplier outside the room.

What the supplier can influence is what the enquirer carries into that room. Almost every industrial purchase is argued internally by someone who is not a salesperson, using whatever material they were given. A quote is a poor artifact for that job. A specification sheet, a tolerance table, a compliance statement, a comparable installation and a plain answer to "why this rather than the incumbent" are all things that survive being forwarded, and forwarding is the only mechanism the supplier has once the enquiry goes quiet.

The follow-up cadence that fits this is different from the one that fits a consumer enquiry, and copying the consumer version is the common failure. Fast first response still matters — it is what gets you into the comparison at all — but after that, the pattern that works is periodic, useful and unhurried, keyed to the buyer's calendar rather than to the seller's pipeline review. A cadence built around your quarter-end is visibly built around your quarter-end.

In industrial sales the enquiry is not the start of a buying decision. It is a symptom of one that started months earlier, in a room you were not in.

How fast does the first reply need to be, if the cycle is this long?

Fast, and for a different reason than usual: the enquirer is collecting a shortlist, and shortlists close early. Being slow does not lose you a decision that was about to be made — it loses you a place in a comparison that will be made months later without you in it.

Should we publish prices if every job is quoted?

Publish the structure even when you cannot publish the number: how you price, what drives it up or down, typical ranges by job type, minimum order. The specifier needs a figure defensible enough to put in an internal document. A page that says nothing about cost gets excluded before the conversation, by someone with a budget to fill in.

ProcurementThe enquirer and the authoriser are different people in almost every industrial purchase above a nominal value, so a supplier's entire relationship is with somebody who must resell the decision internally without any of the seller's material, incentives or vocabulary. The signature-authority threshold in any manufacturer's own purchasing policy, which names the value above which the specifier stops being able to decide
Buying behaviourThe timing of an industrial decision is set by capital planning cycles, plant shutdown windows and existing supplier contract dates rather than by the buyer's enthusiasm, so a quiet period in the middle of a deal carries no information about whether it is progressing. The maintenance shutdown calendar or capital budget schedule any plant operates to, which is set a year ahead
