What AI is useful for a trades business with no office staff?

The things that happen while you are on a roof: answering, capturing, reminding, and turning voice notes into paperwork.

The ones that run while your hands are busy: capturing calls and enquiries, sending appointment and payment reminders, and turning a voice note at the end of a job into an invoice line or a record.

The defining condition is that the person doing the work is also the person doing the admin, and the two cannot happen at once. That makes availability rather than capability the useful axis: what matters is what can happen while you are on site, not what could be done well if you sat down. This rules out most of what gets recommended and leaves a short list that is genuinely valuable.

Answering is the first. A call that rings out during a job is a job that goes to whoever answers next, and something that takes the details and promises a callback keeps it in play. This does not need to be sophisticated: name, number, address, what is wrong, and a time you will call, delivered reliably, is the whole of it.

Voice to paperwork is the second and is under-used. Spoken notes at the end of a job — what was done, what parts were used, what needs doing next time, what the customer said — turned into a written record or the lines of an invoice removes the evening admin that otherwise does not happen. The failure mode is a silent transcription error in a part number or a price, so the output belongs in a draft that gets a glance rather than direct into an invoice.

Reminders are the third and are the cheapest. Appointment confirmations reduce the wasted journey; payment reminders shorten the time to being paid; a prompt about the annual service is a job that would not otherwise have existed. None of these needs a model at all, which is worth noticing: the useful thing here is a schedule and a message template, and the reason to mention it on an AI page is that these are the wins people skip while looking for something cleverer.

Quoting is where care is needed. Producing a written quote from a spoken description saves genuine time and the number in it is a commitment. The safe arrangement is that the words are drafted and the price is yours, entered rather than generated, because a quote that goes out with an estimated figure attached is a price you are held to.

One constraint specific to this situation: whatever is set up has to keep working without maintenance, because there is nobody to maintain it. That argues for fewer things, simpler things, and things that fail visibly. A clever arrangement that needs attention is a clever arrangement that will be broken in three months and discovered by a customer.

The constraint is not knowing what to do, it is being on a ladder when the phone rings and at a kitchen table when the invoice should be written.

The threshold is usually the first missed job rather than a headcount. If calls are going unanswered during working hours, the cost of that is already being paid and is larger than any subscription.
